NoteOwl ("we," "our," or "us") operates the NoteOwl mobile application (the "App"). This Privacy Policy explains how we collect, use, store, share, and protect your personal information when you access or use the App. By using NoteOwl, you consent to the practices described in this policy.

If you do not agree with this Privacy Policy, please discontinue use of the App immediately.

We collect the following categories of information:

a. Information You Provide

• Account registration details (name, email address, password)
• Audio recordings you create or upload through the App
• Text notes and written content you create
• Transcriptions, summaries, and AI-generated content
• Chat messages exchanged with our AI assistant
• Study materials including flashcards and quiz responses
• Folder structures and organizational preferences
• User preferences and settings configurations

b. Information Collected Automatically

• Device information (model, operating system, unique identifiers)
• App usage data and interaction patterns
• Crash reports and diagnostic data
• IP address and general location (country/region level)
• Session duration and feature usage statistics

NoteOwl requests the following device permissions to provide its core functionality:

a. Microphone Access

NoteOwl requires access to your device microphone to record audio directly within the App. Audio is captured locally on your device and uploaded to our secure cloud storage only when you initiate a recording. Microphone access is used solely for the purpose of creating audio recordings that you choose to transcribe, summarize, or analyze. The App does not access your microphone in the background or when you are not actively recording.

b. File and Media Access

NoteOwl may request access to your device storage to allow you to upload existing audio files for transcription and processing. We access only the files you explicitly select.

c. Notifications

With your permission, NoteOwl may send push notifications to inform you when audio processing is complete or for important service updates. You can manage notification preferences in your device settings at any time.

We use your information for the following purposes:

• To provide, operate, and maintain the App and its features
• To transcribe audio recordings and generate AI-powered content
• To create summaries, flashcards, quizzes, and other study materials
• To enable AI chat functionality and cross-note search
• To authenticate your identity and secure your account
• To process subscription payments and manage billing
• To send important service-related communications
• To monitor, detect, and prevent fraud, abuse, or violations of our Terms of Service
• To improve, personalize, and optimize the App experience
• To comply with legal obligations and enforce our agreements

We rely on trusted third-party service providers to deliver certain features of the App, including authentication, cloud storage, audio transcription, AI processing, error monitoring, and subscription management. These providers process your data strictly in accordance with our instructions and their respective privacy policies.

We share only the minimum data necessary for each provider to perform its function. We do not sell, rent, or trade your personal information to any third party for marketing or advertising purposes.

Your data is stored on secure, industry-standard cloud infrastructure. We implement the following measures to protect your information:

• All data in transit is encrypted via TLS/HTTPS
• Authentication tokens are stored using device-level encrypted storage (SecureStore)
• Row Level Security (RLS) ensures users can only access their own data
• Audio files are stored with time-limited, pre-signed access URLs
• API keys and secrets are stored in secure server-side environments, never on-device

While we take reasonable precautions, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security of your data.

We retain your personal data for as long as your account is active or as needed to provide you with our services. Upon account deletion, all associated data -- including recordings, transcriptions, notes, study materials, chat history, and preferences -- will be permanently deleted from our systems within 30 days.

We may retain certain anonymized or aggregated data that cannot be used to identify you for analytical and service improvement purposes.

Depending on your jurisdiction, you may have the following rights:

• Access -- Request a copy of the personal data we hold about you
• Correction -- Request correction of inaccurate or incomplete data
• Deletion -- Request deletion of your account and all associated data via the Settings screen
• Portability -- Request your data in a structured, machine-readable format
• Restriction -- Request that we limit how we process your data
• Objection -- Object to certain types of data processing

NoteOwl is not intended for use by individuals under the age of 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If we become aware that we have collected data from a child without parental consent, we will take steps to delete such information promptly.

Your information may be processed and stored in countries other than your country of residence. By using the App, you consent to the transfer of your data to these countries. We ensure that appropriate safeguards are in place to protect your data in compliance with applicable data protection laws.

The App may collect anonymized usage analytics to help us understand how users interact with our features. We use crash reporting tools in production to identify and resolve technical issues. We do not use advertising trackers or sell any analytics data.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. We will notify you of material changes by posting the updated policy within the App and updating the "Effective Date" above. Your continued use of the App after such changes constitutes your acceptance of the revised policy.
