For managers

AI note taker for managers

NoteOwl is an AI note taker for managers: it takes notes on your 1:1s and team meetings on your Mac, with no bot joining the call, and keeps every commitment — yours to your team and theirs to you — on one board with its due date.

Before a 1:1, a person’s profile shows what’s still open between you and every conversation you’ve had. Between meetings, dictation is free: tap fn in any app and talk through feedback or an email instead of typing it.

What did you promise in your last meeting? NoteOwl remembers (0:51).

Quick question. What did you actually promise in your last meeting? …Yeah. Me neither.

This is NoteOwl. It’s a Mac app that takes notes on your calls. And no, there’s no bot joining your meeting.

The second the call ends, it’s written everything up. What got decided. Who’s doing what. And by when.

All those promises end up in one list. What you owe people… and what they owe you.

And here’s the part that got me. You can just ask it. “What changed on the Ferncastle pilot?” And it shows you exactly where that came from.

The whole thing runs on your Mac. Nothing gets uploaded. It even works with the Wi-Fi off.

NoteOwl. It’s free to download. Try it on your next call.

How do managers use an AI note taker?

For the meetings a team runs on: 1:1s, stand-ups and weekly team meetings. NoteOwl takes the notes without a bot in the call, keeps who-owes-what in both directions, and puts it in front of you before the next conversation.

  1. Before the 1:1

    Walk in knowing what’s open

NoteOwl reads your Mac’s Calendar and builds a prep page for each meeting: who’s coming, your notes, and the commitments still open with them.

  2. During the meeting

    Listen instead of typing

No bot joins. Jot a point in the notes box and it feeds the summary; joined the team meeting late? Catch up tells you what you missed — only you see it.

  3. After the meeting

    Follow-ups with owners

The summary and action items with owners are written on your Mac, Summarize as → 1:1 Check-in reshapes a 1:1, and every promise goes to your commitments board.

  4. Every morning

    One look at the day

Review shows what’s overdue, what’s due today, today’s meetings and what came in over the last day.

Can you dictate feedback and emails instead of typing?

Yes, and it’s free. Tap fn in Mail, Slack or a doc — anywhere you can type — and talk. NoteOwl types your words at the cursor, and one tap on Polish rewrites them in the tone set for that app. How free dictation works on your Mac

Hey Leo, quick update from the Ferncastle call. They cut the pilot budget to $90,000, so let’s focus only on the camera auto-capture flow. Can you prioritize those wireframes for Thursday? Thanks.

What does NoteOwl write after a 1:1?

Who agreed to do what, on both sides. This is NoteOwl’s real summary of a weekly 1:1 between Maya Rao and her designer, Leo Martins.

Summarize as → 1:1 Check-in then rewrites it in the five sections of the 1:1 meeting template: wins, blockers, feedback both ways, growth, and follow-ups with owners.

Template · 1:1 Check-in

“Summarize this 1:1 check-in: Wins/progress, Challenges/blockers, Feedback exchanged (both directions), Growth or career topics, and Agreed follow-ups with owners.”

NoteOwl pulls every promise out of your meetings — yours to your team and theirs to you — onto one board of what you owe and what you’re owed, sorted by what’s due and linked to the meeting it came from.

How do you prepare for a 1:1?

Open the person’s profile. NoteOwl keeps a profile for everyone you meet: who they are, a summary of your relationship written from your meetings, what’s still open between you, and every conversation you’ve had.

Add private notes that only you can see, and set the relationship to Colleague or your own word, such as Direct report. For a meeting on your Mac’s Calendar, the prep page lists the commitments still open with whoever is coming.

What does NoteOwl’s daily Review show?

The day at a glance: what’s due today, what’s overdue, what came in over the last day, and today’s schedule. The commitments that need you soonest sit under Needs attention, each with the meeting it came from.

NoteOwl’s Review screen: two things due today, five captures in the last day, 25 open commitments, none overdue, and a Needs attention list of follow-ups

What else does NoteOwl do for a manager?

Everything between the meetings, with NoteOwl Pro: recaps drafted, questions answered across every 1:1, private notes on each person — all on your Mac, even with Wi-Fi off.

  • Recaps and drafts, on request

Ask the wand on a meeting for the follow-up email or a recap for the team, or on someone’s profile for a one-page summary of everything with them.

  • Help mid-meeting

Joined the team meeting late? Catch up on what you missed, or see the action items so far. Only you see it.

  • Recall between meetings

Press ⌥Z in any app and ask out loud; the answer, with its source, appears in the notch.

  • Who said what

Each line names its speaker. Rename a speaker once and the whole transcript updates; a voice you name is recognised later, and voice profiles stay on your Mac.

  • Search everything

Every meeting, note and person, one keystroke away.

  • Ask across every 1:1

Ask in plain English what you and someone agreed, months ago or last week. Every answer cites the meeting it came from, and NoteOwl says so when nothing matches.

  • Private notes on each person

Add your own notes to anyone’s profile. Only you can see them, and they’re saved on your Mac.

  • Works with Wi-Fi off

Everything runs on your Mac, so notes, chat and dictation work offline.

  • 34 languages

Meetings and dictation in 34 languages, detected automatically — Hindi and English in one sentence included.

Which meeting notes templates do managers use?

NoteOwl writes the summary when the meeting ends; Summarize as then rewrites it in any of the 22 meeting notes templates. These six cover most of a manager’s week, from 1:1s to team meetings.

Can NoteOwl take notes on 1:1s in Zoom, Teams or Google Meet?

Yes. NoteOwl records your microphone and your Mac’s audio, so it takes notes on 1:1s and team meetings in Zoom, Microsoft Teams, Google Meet, Webex or Slack huddles with no bot joining. Tell the people you meet that you are taking notes.

Can NoteOwl write 1:1 meeting notes in a template?

Does NoteOwl track what my team members promised?

Yes. NoteOwl pulls commitments out of every meeting — who owes what to whom, and by when — and keeps the ones that involve you on one board of what you owe and what you are owed, each linked to the meeting it came from.

Can I see what is open with someone before a 1:1?

Yes. Each person’s profile in NoteOwl lists the commitments still open between you, both ways, above every conversation you have had, and NoteOwl’s prep page for a calendar meeting shows the open commitments with the people coming.

Can NoteOwl take notes on team meetings and stand-ups?

Yes. NoteOwl takes notes on any call your Mac can hear, labels each speaker, and writes the summary and action items with owners; Summarize as → Stand-up rewrites a stand-up as each speaker’s yesterday, today and blockers.

Do my 1:1 recordings leave my Mac?

No. NoteOwl records, transcribes and summarizes 1:1s on your Mac with on-device AI models, so recordings, transcripts and notes are never uploaded, and it works offline after the one-time model download. No bot joins, so tell the other person you are taking notes.
