How do you write a meeting agenda?
Start from the goal, list the topics as questions, give each a lead and a time, mark the outcome, add the preparation, and send it ahead.
- 1
Start with the goal
Write one sentence on what the meeting must achieve. If there is no goal, it may not need a meeting.
- 2
List the topics
Put the items that need a decision first, while people are fresh, and phrase each as the question to answer.
- 3
Give each a lead and a time
Name who leads each item and how many minutes it gets, and check the total fits the meeting.
- 4
Mark the outcome
Say whether each item is to inform, discuss or decide, so everyone knows what “done” looks like.
- 5
Add the preparation
List what to read beforehand, with links, so the meeting is spent on discussion.
- 6
Send it ahead
Share the agenda with the invite, or at least a day before, and ask for items to add.
How do you turn the agenda into meeting minutes?
Use the agenda items as the headings of the meeting minutes template: under each, note what was said, what was decided and who does what by when. Or record the meeting with NoteOwl, which writes the minutes and action items from what was said, on your Mac.
FAQ
Questions about meeting agendas
What is a meeting agenda?
A meeting agenda is the plan for a meeting, shared beforehand: the goal, the topics in order with who leads each and how long it gets, and what to prepare. NoteOwl’s free agenda template and builder produce one ready to send.
What is the format of a meeting agenda?
A standard meeting agenda format has the meeting’s name, date, time and place at the top, then the goal, the attendees, a numbered list of items with a lead, a time and an outcome for each, and any preparation. NoteOwl’s agenda template follows this format.
How many items should a meeting agenda have?
Few enough to finish on time: for a 30-minute meeting, three or four items with time boxes usually fit. Put the items that need a decision first. NoteOwl’s agenda builder adds up the minutes, so you can see when the meeting would end.
When should you send a meeting agenda?
Send the agenda with the invite, or at least a day before the meeting, so people can prepare and add items. NoteOwl’s agenda builder copies the agenda as plain text, ready to paste into a calendar invite or an email.
Can I use this meeting agenda template in Word or Google Docs?
Yes. Copy NoteOwl’s agenda template as plain text into Word, Google Docs, Pages or Notion, or fill in the builder and download a Word document (.docx), which opens in Word, Pages and Google Docs.
Can NoteOwl write the minutes after the meeting?
Yes. Record the meeting in NoteOwl and choose the Meeting Report template: NoteOwl writes minutes with decisions and action items from what was said, on your Mac with on-device AI models, and no bot joins the call.
