How it works
How do you transcribe a Whereby recording?
Stop the recording before you leave the room, so Whereby saves it, then find the WebM in your Downloads folder. Drop it on the converter as it is; no conversion needed. The transcript comes back in timed paragraphs.
- 1
Stop, then leave
Click Stop Recording before you leave the room. Whereby downloads the file the moment the recording ends.
- 2
Find the WebM
Look in Downloads, or search your computer for files with Whereby in the name. Get Recordings in the room lists them too.
- 3
Drop it here
The converter reads WebM directly and transcribes up to 30 minutes of each recording.
Where does Whereby save recordings?
On the computer that recorded them. Every Whereby recording is a local recording; there is no cloud recording for meetings. When you stop, the WebM goes to your Downloads folder, and a copy stays in that browser’s cache, under Get Recordings and your dashboard’s Recordings page.
Because the copy lives in one browser on one computer, signing in to Whereby somewhere else won’t show it, and Whereby can’t recover a lost recording. Keep the downloaded file somewhere safe once the meeting is over.
Who can record a Whereby meeting?
Room hosts on Whereby’s Pro and Business plans, in Chrome or another Chromium browser on a desktop or laptop. Whereby records the browser tab the meeting is in; phones and tablets can’t record. Only the person who recorded gets the file.
Why didn’t a Whereby recording save?
Most often because someone left the room before pressing Stop Recording. Whereby says a recording must be ended first, or it may not save correctly or at all. A full browser cache and some Chrome extensions can also block the download.
End it first
Click Stop Recording, then leave the room. Leaving first can lose the file.
Make room
An hour takes about 450 MB. If your cache clears on close, it’s capped at 300 MB.
Pause extensions
If the download doesn’t start, try again with Chrome extensions turned off.
Do you have to turn Whereby’s WebM into an MP4?
No. Whereby suggests HandBrake or VLC when you want to edit a recording or need another file type. For a transcript you need neither: the converter takes the WebM straight from Downloads and uses only its sound, so converting first would just cost you time.
Want Whereby calls transcribed on your Mac, with no bot?
NoteOwl records Whereby calls on your Mac in your browser, from your microphone and the Mac’s own audio, and nothing joins the room. When the call ends, it writes the transcript with each speaker labelled, unlimited, using on-device AI models.
FAQ
Questions about transcribing Whereby recordings
Is this Whereby transcription free?
Yes, and no account is needed. Up to 3 recordings a day, 30 minutes of each, with the text ready to copy or to download as Word, plain text or subtitles.
Can a guest get the Whereby recording?
Only from the host. Whereby downloads a recording only to the device of the person who made it, and keeps no copy itself. Ask the host to send you the WebM file, then drop it here.
Does my Whereby recording leave my computer?
The file doesn’t. Your browser opens the WebM locally and sends just short pieces of its sound, over a secure connection, to a cloud AI transcription service, which transcribes each piece and discards it. NoteOwl holds on to nothing.
Can it tell the people in the Whereby room apart?
No. You get a single timed transcript without names. Mark each person’s turns using the times, or record future calls with NoteOwl on a Mac, which labels each speaker.
What if the Whereby meeting ran over 30 minutes?
The first 30 minutes of the WebM are transcribed, and the page tells you above the transcript. Split the file for the rest, or record meetings with NoteOwl on a Mac, which has no length limit.
Is the sound of a YouTube video I played in Whereby transcribed?
Not if you played it through Whereby’s YouTube integration: Whereby doesn’t capture that audio in recordings. It suggests sharing your screen with audio instead, which does end up in the recording.
