How it works

How do you transcribe a Teams recording?

Open the recording from the meeting chat, or from the Recordings folder in OneDrive or SharePoint, and download it. Then drop the file on the converter: its sound is transcribed in short pieces, and the text appears with its times.

  1. 1

    Find the recording

It’s linked in the meeting chat and in the meeting’s Recordings and Transcripts tab, and saved in a Recordings folder.

  2. 2

    Download it

Open it in OneDrive or SharePoint and choose Download. Only people allowed to download it see the option.

  3. 3

    Drop it here

The transcript appears paragraph by paragraph, with times. Up to 30 minutes of each recording are transcribed.

Where are Teams meeting recordings saved?

In OneDrive or SharePoint, not on your computer. A scheduled or ad hoc meeting goes to the organizer’s OneDrive, even if they didn’t attend. A channel meeting goes to that channel’s SharePoint site. A call goes to whoever pressed Record.

Why can’t you download a Teams recording?

Because only some people may. The organizer and co-organizers can download and share a meeting recording; colleagues who attended can watch it but not download it, and guests from outside need it shared first. Ask the organizer for a copy.

An admin can also block downloads of Teams recordings across the organization, or make channel recordings view-only for everyone but the channel’s owners. Then the recording plays only in the browser: ask the organizer or your admin whether a copy can be shared.

How long do Teams recordings last?

By default, 120 days. Then the recording moves to the recycle bin, and once it’s cleared from there it can’t be recovered. Your organization may set a different time, and the recording’s owner can change or remove its expiry date.

  • Download it early

Save the recording, or its transcript, while the link in the chat still plays.

  • Ask the owner to keep it

The recording’s owner can push its expiry date back, or remove it so the recording stays.

  • Look in the recycle bin

An expired recording waits in the recycle bin of the OneDrive or SharePoint site it was saved to, until that is emptied.

Doesn’t Teams write a transcript itself?

Only when transcription was turned on for that meeting and the organization allows it. Then Teams keeps the transcript with the recording. When it wasn’t, the recording has no transcript, and this converter writes one from its sound.

FAQ

Questions about transcribing Teams recordings

Is this Teams transcription free?

Yes. Transcribe 3 Teams recordings a day, up to 30 minutes of each, with no account or Microsoft sign-in. Every download is included.

Can I transcribe a Teams recording from its link?

No. The converter needs the file itself. Open the link, choose Download in OneDrive or SharePoint, then drop the downloaded file here. If there’s no Download option, ask the meeting’s organizer for a copy.

Is my Teams recording uploaded?

No. Your browser reads the downloaded file on your device and sends only short pieces of its sound, over a secure connection, to a cloud AI transcription service, which transcribes each one and discards it. NoteOwl keeps no audio and no text.

Does the transcript show who spoke in the Teams meeting?

No. The converter writes one transcript with times, without names. Add initials where each person starts, using the times to check. NoteOwl on a Mac names each speaker for you.

What if the Teams meeting was longer than 30 minutes?

The first 30 minutes are transcribed, and the page says so above the transcript. Cut the recording into parts to transcribe the rest, or record your meetings with NoteOwl on a Mac, which has no length limit.

Does it work for Teams calls as well as meetings?

Yes. A recorded 1:1 or group call is saved to the OneDrive of whoever pressed Record. Download it from their Recordings folder and drop it here, like a meeting recording.
